Digitalization of Documents is necessary for streamlining and modernizing the assessment activities.

NABH officials had a dream in 2013 and visualized a paperless office. The vision of the officials was a reaction to the heavily cluttered desks filled with applications and important documents from the Healthcare organizations. It was very difficult to find out an important document among the myriad of documents. So in 2014, it was decided to go for online application and assessment process with the digitalization of all the documents.

The purpose of the ambitious project was to digitalize the documentation of NABH for effective documentation/ management with the aim of maintaining minimal manual records (which will address space constraints) & enhance the frequency.

Now this project has been completed and we are receiving online application from hospitals, SHCO, Blood bank, Dental Facilities, Ayurveda hospitals and other healthcare organizations. This software facilitates the online application and assessment process, and replicate in the most accurate manner the different forms and documents that are being used by the NABH everyday. It helps to perfect the ideal operation that comes with the ease of retrieval, and the quick filing and storing systems. The importance of document digitization is that it makes preserving, organizing, retrieving and accessing the important information easy, prompt & swift.

Among the most important aspects of the dream digitization software is the fact that it is both time & money saving process for the HCOs. Earlier HCOs sent their application and documents through courier services which was compromised by on-time delivery, unsafe handling and inefficient tracking system. But now HCO can apply online and send all kind of documents online. It takes few minutes to fill the online application form and quite convenient while uploading the documents. Now hospitals can choose the option for online or offline payment mode for application fee, annual fee etc. So in this way it helps HCO not to waste precious time in collecting and sending data to NABH secretariat in hard copy.

This software system has provided a common platform to NABH secretariat and to the assessors to view online application along with other documents. Now assessors can also share thoughts, opinion, blogs with the others assessors and NABH secretariat from their assessors' account.

Digitization of documents has given a status of eco-friendly environment as there is less or no need to photocopy for the document; and can be easily checked as and when required. This reduces the wastage of papers and trees at large.

We believe the digital transformation we have done so far is only the beginning, It's the initial step that has been taken and still more needs to be done.

And above all the project of getting rid of the clutter has been a step anticipatory to the present National agenda of "Swach Bharat".
